Position Summary

The Accounts Payable (AP) Manager is responsible for overseeing all aspects of vendor invoicing, purchasing workflows, and disbursements for Nomad Internet. This role ensures that financial transactions are processed accurately, internal controls are maintained, and vendor relationships are managed in alignment with company policy and accounting standards. The Accounts Payable Manager plays a key role in maintaining financial accuracy, supporting cash-flow management, and ensuring compliance with GAAP and corporate policies.

Essential Duties and Responsibilities

    • Manage the full-cycle accounts payable process, including invoice intake, coding, approvals, and payment execution.
    • Review weekly payment runs (ACH, wire, check, and virtual card) for accuracy and timeliness.
    • Monitor the AP aging report and maintain vendor accounts in good standing.
    • Ensure accurate posting of invoices, credits, and expense accruals in the accounting system.
    • Build, lead and develop the AP team to achieve departmental accuracy and efficiency targets.
    • Set goals, establish performance metrics and conduct regular reviews to ensure high-quality output.
    • Provide training on communication standards, escalation procedures, and compliance practices.
    • Maintain positive and professional relationships with vendors and service providers.
    • Oversee vendor onboarding, W-9 collection, and compliance with 1099 reporting requirements.
    • Resolve payment discrepancies, disputes, and credit memo issues in coordination with internal departments and company leadership.
    • Ensure adherence to GAAP standards and internal financial controls.
    • Reconcile accounts payable sub-ledger to the general ledger monthly.
    • Prepare accrual entries and support monthly, quarterly, and annual close processes.
    • Assist with internal and external audit requests, including documentation of AP processes.
    • Identify and implement process improvements to increase automation, accuracy, and efficiency.
    • Work cross-functionally with Finance, Procurement, and Operations to align purchasing and payment procedures.
    • Collaborate with IT and vendors to enhance integrations with accounting platforms such as QuickBooks, Bill.com, and Chargebee.
    • Generate and analyze AP reports to monitor key performance indicators (KPIs), cash flow impact, and payment cycle times. Prepare weekly and monthly AP reports for executive review, highlighting key trends, aging metrics, and cash collection performance.
    • Provide regular reports to the CFO/COO summarizing vendor spend, discount capture, and payment efficiency.
    • Support financial forecasting and budget management with real-time payable data.

Qualifications

  • Education: Bachelor’s degree in Accounting, Finance, Business Administration, or related field required.
  • Experience: Minimum of 5 years of accounts payable or accounting experience, with at least 2 years in a supervisory or managerial capacity.
  • Technical Skills:
    • Proficiency in QuickBooks required.
    • Familiarity with ERP systems, payment gateways (e.g., Stripe, Chargebee), and workflow automation tools preferred.
  • Knowledge:
    • Strong understanding of GAAP, internal controls, and expense classification.
    • Experience managing high-volume vendor payments and multi-entity operations.
  • Soft Skills:
    • Exceptional attention to detail, problem-solving, and analytical thinking.
    • Strong leadership and interpersonal communication skills.
    • Ability to work cross-functionally and manage competing priorities.
    • Detail-oriented with a commitment to accuracy and accountability.

Working Conditions

  • Full-time position (Monday–Friday, 9:00 a.m.–6:00 p.m. CST).
  • On-site work from Bulverde, TX, office required.
  • Standard office environment with occasional extended hours during close or audit cycles.

Compensation and Benefits

  • Salary Range: $70,000 – $80,000 annually (commensurate with experience).
