The Pediatric Center is a dedicated pediatric medical practice with 6 physicians, supported by a team of 30 employees. We serve a diverse patient population, with approximately 80% of our patients covered by Medicaid. Our mission is to deliver high-quality, compassionate care to children across our three office locations.
Position Summary:
We are seeking an experienced, highly organized Practice Administrator / Office Manager to lead all business operations of our pediatric medical practice. This individual will ensure the office runs smoothly so our doctors can focus on providing outstanding care. You will oversee daily operations, HR, credentialing, payroll, billing coordination, compliance, and more. This is a leadership position that requires healthcare experience and the ability to manage a large, fast-paced practice.
Key Responsibilities:
Leadership & Operations
Manage daily operations across two locations (Wellington and Boynton Beach)
Direct supervision of 20 staff (including schedulers, billers, coders, referrals, and MAs)
Maintain smooth office workflows and handle equipment maintenance
HR & Payroll
Oversee HR functions including hiring, on-boarding, staff evaluations, and compliance
Administer ADP payroll and benefits (health insurance, 401(k), PTO)
Manage employee files, policies, and discipline when needed
Credentialing & Compliance
Maintain up-to-date credentialing for 6 physicians
Handle CAQH, CE Broker, CLIA, and VFC enrollment/compliance
Coordinate PCMH renewal and HEDIS Medicaid reporting
Represent practice in meetings with Medicaid Managed Care Plans
Finance & Billing Oversight
Familiarity with QuickBooks for office bookkeeping
Serve as liaison for billing issues with insurance payers
Collaborate with in-house billing team (2 billers, 1 coder)
Coordinate with external IT consultant for system issues
Technology & EMR
Manage EMR systems (EMD’s) and ensure user support/training
Point of contact for outsourced IT support
Required Qualifications:
Bachelor’s degree preferred
Minimum 3–5 years experience managing a medical practice, preferably pediatrics
Proficient in electronic health records, credentialing, and Medicaid billing oversight
Experience with ADP, Paychex, QuickBooks, CAQH, CE Broker, PCMH, HEDIS
Strong organizational, communication, and leadership skills
Ability to multitask, lead a team, and maintain compliance in a busy healthcare setting
